How do you calculate productivity percentage?
Divide your billable minutes by your paid minutes, then multiply by 100.
Productivity % = billable minutes ÷ paid minutes × 100
Billable minutes needed = paid minutes × (target % ÷ 100)
Use paid minutes, not the time between walking in and walking out. An unpaid lunch isn’t part of the bottom number.

Worked example: did you hit 85% today?
Alex, an SNF physical therapist, worked 8:00 AM to 4:30 PM with a 30-minute unpaid lunch. That’s 480 paid minutes. Alex billed 396 minutes.
- 396 ÷ 480 × 100 = 82.5%
- An 85% target needs 480 × 0.85 = 408 billable minutes
- Alex was 12 minutes short
Twelve minutes is one short treatment session, or a co-treat credited under the facility’s rules. Knowing the exact gap makes the conversation with your manager a lot easier than “I was a little behind.”
Billable minutes needed by target and shift length
| Paid day | 75% | 80% | 85% | 90% |
|---|---|---|---|---|
| 6 hours (360 min) | 270 | 288 | 306 | 324 |
| 7 hours (420 min) | 315 | 336 | 357 | 378 |
| 7.5 hours (450 min) | 338 | 360 | 383 | 405 |
| 8 hours (480 min) | 360 | 384 | 408 | 432 |
| 10 hours (600 min) | 450 | 480 | 510 | 540 |
Rounded up to the next whole minute so you don’t fall short.
What goes in the top and bottom of the fraction?
This is where most confusion starts. Two clinicians at 82% can be doing very different amounts of work, depending on what their employer counts.
| Activity | Often in the top (billable)? | In the bottom (paid)? |
|---|---|---|
| One-on-one treatment | Yes | Yes |
| Evaluations | Yes | Yes |
| Co-treat, concurrent or group time | Depends on facility crediting rules | Yes |
| Documentation | Sometimes | Yes |
| Team meetings, care conferences | Sometimes | Yes |
| Paid short breaks | No | Yes |
| Unpaid lunch | No | No |
ASHA’s 2025 survey of health care SLPs found that 40% said nothing counts toward productivity when the patient isn’t present. Ask your manager for the written definition your facility uses.
Is 80% productivity good?
For many settings, 80% sits right at the middle. ASHA’s 2025 survey put the median requirement for health care SLPs at 80% overall, 85% in skilled nursing facilities, 78% in outpatient clinics and 70% in pediatric hospitals. “Good” is whatever meets your employer’s target without cutting into care quality or pushing notes home.

Is a productivity “score out of 100” the same thing?
Yes. Some tools call it a productivity score. A score of 82 out of 100 is the same as 82% productivity.
Common mistakes when checking your own number
- Counting unpaid lunch in paid time. It makes your % look lower than your employer’s report.
- Leaving out evaluations. Evals are usually billable. Check that they’re in your top number.
- Mixing a week’s billable minutes with a day’s paid minutes. Use the same time window for both.
- Assuming your facility counts documentation. Many don’t. Confirm before you plan around it.

Frequently asked questions
How many billable minutes is 85% of an 8-hour day?
408 minutes, or 6 hours 48 minutes.
How many billable minutes is 80% of an 8-hour day?
384 minutes, or 6 hours 24 minutes.
Do breaks count in productivity percentage?
Paid breaks count as paid time (the bottom of the fraction). Unpaid lunch doesn’t count at all.
Why doesn’t my number match my employer’s report?
Usually because your employer counts different activities as productive, or uses scheduled hours instead of worked hours. Ask which definition they use.
Does productivity percentage affect billing?
No. ASHA notes productivity standards aren’t set by payers and don’t affect reimbursement. Billing depends on documented, medically necessary services.
