How does the calculation work?

  • Sessions needed = target hours × 60 ÷ session length (round up)
  • Sessions to book = sessions needed ÷ (1 − no-show rate) (round up)
  • Productivity % = client minutes ÷ paid minutes × 100

Worked example (example numbers, not a standard)

Target 25 client hours a week, 53-minute sessions, 15% no-show rate, 40 paid hours.

Value
Client minutes needed1,500
Sessions needed1,500 ÷ 53 = 28.3 → 29
Sessions to book at 15% no-shows29 ÷ 0.85 = 34.1 → 35
Productivity at 29 sessions1,537 ÷ 2,400 = 64.0%
Funnel from 35 sessions booked, minus about 5 expected no-shows, to 29 sessions delivered, meeting a 25 client-hour example target
Booking enough sessions to cover no-shows

Why do session lengths like 53 minutes matter?

In the CPT code set, psychotherapy codes are time-based: 90832 for 16–37 minutes, 90834 for 38–52 minutes and 90837 for 53 minutes or more. That’s why many clinics schedule 53-minute sessions. Check your payer’s rules.

What counts toward a counselor’s productivity?

It varies by employer. Ask whether these count:

  • Intake assessments
  • Group sessions (and how they’re credited)
  • Case management and care coordination
  • Telehealth sessions
  • Documentation time

Frequently asked questions

What is a typical productivity requirement for counselors?

We haven’t found a reliable public national survey. Requirements vary widely by employer and setting. Ask for yours in writing.

Should I overbook to cover no-shows?

Booking a few extra sessions is a common approach. Balance it against what happens if everyone shows up.

Is this the same as a therapy (PT/OT/SLP) productivity calculator?

The math is similar, but counseling usually measures client hours per week instead of a percentage of each day. For PT, OT and SLP, use the therapy productivity calculator.
