Productivity vs Efficiency

Productivity is how much output you get from the time you have. Efficiency is how little time or effort each piece of work takes. For a therapist, productivity is the share of your paid day that’s billable treatment. Efficiency is things like how long a note takes, or how quickly you move between patients.

How does efficiency raise productivity?

Every minute saved on a non-billable task is a minute that can go to patient care or to going home on time.

Example: An SNF SLP sees 10 patients and spends 7 minutes on each note (70 minutes). She trims notes to 5 minutes with templates and point-of-service documentation (50 minutes).

Can you be productive but not efficient?

Yes. A therapist can hit 85% by staying late to finish notes off the clock. The number looks fine, but the work is taking far more hours than it should. That’s the pattern behind the Lakeland survey finding that 32% of 116 PTs documented at home.

And the reverse: a fast, efficient therapist can still have low productivity on a day with cancellations.

Where should therapists look for efficiency gains?

  • Note templates and smart phrases that still reflect the actual session
  • Documenting during or right after the session where your setting allows
  • Grouping patients by location to cut walking time
  • Prepping equipment the night before
  • AI note tools, only with a HIPAA business associate agreement in place (see AI for therapy notes)

Efficiency should never mean cutting medically necessary care or leaving out what the record needs.

Frequently asked questions

Is efficiency the same as productivity?

No. Efficiency is about time per task. Productivity is about how much billable work fits in your paid time.

Which matters more?

Efficiency usually comes first. Saving time on non-billable tasks is the most sustainable way to meet a productivity target.

How do I measure my documentation efficiency?

Time a week of notes and use the documentation time calculator.
