Therapy Productivity Formula
The core formula is:
Productivity % = billable minutes ÷ paid minutes × 100
Everything else on this page is that same formula rearranged to answer a different question: how many minutes you need, how long you have to stay, or how your week adds up.

Formula reference table
| Question | Formula | Example |
|---|---|---|
| What’s my productivity? | billable ÷ paid × 100 | 386 ÷ 480 = 80.4% |
| How many billable minutes do I need? | paid × target (round up) | 480 × 0.85 = 408 |
| How long must I be paid to reach my target? | billable ÷ target (round down to whole minutes) | 400 ÷ 0.85 = 470 min |
| When can I clock out? | start + paid minutes + unpaid lunch | 7:00 + 470 min + 30 = 3:20 PM |
| How many non-billable minutes do I have? | paid × (1 − target) | 480 × 0.15 = 72 |
| Weekly productivity | total billable ÷ total paid × 100 | 1,887 ÷ 2,250 = 83.9% |
| Utilization | billable ÷ scheduled patient minutes × 100 | 396 ÷ 450 = 88% |
How do you rearrange the formula?
Because productivity is a simple ratio, you can solve for any piece.
- Need billable minutes? Multiply paid minutes by your target.
- Need paid time? Divide billable minutes by your target.
- Need your percentage? Divide billable by paid.

Why does the clock-out formula round down?
If you need 400 billable minutes at 85%, the exact answer is 470.6 paid minutes. At 470 minutes, 400 ÷ 470 = 85.1%, which meets the target. At 471, you’d be paid a minute longer than needed. So paid time rounds down, and billable minutes needed round up, so you never fall short.
How do concurrent and group minutes change the formula?
The top of the fraction changes depending on how your facility credits shared sessions.
Productivity % = (one-on-one minutes + credited shared minutes) ÷ paid minutes × 100
| Crediting method | 60-minute session, 2 patients |
|---|---|
| Clock minutes | 60 |
| Split per patient | 30 |
| Patient minutes | 120 |
Use the concurrent therapy calculator to compare all three.
Is there a formula for visits or points instead?
Yes, for employers that don’t use percentages:
- Visits per hour = visits ÷ paid hours (calculator)
- Weekly points = Σ (visits of each type × agency point value) (calculator)
Frequently asked questions
What is the standard therapy productivity formula?
Billable treatment minutes divided by paid minutes, times 100.
Is productivity based on paid hours or hours worked?
Most employers use paid time. Unpaid lunch is excluded. Ask whether your employer uses a different base.
How do I convert hours to minutes for the formula?
Multiply hours by 60. 7.5 hours is 450 minutes.
