Why you can’t just average the daily percentages

A short day and a long day shouldn’t count equally. The right way is to total the minutes first:

Weekly productivity = total billable minutes ÷ total paid minutes × 100

Worked example: outpatient PT week

  • An 85% target for 2,250 paid minutes needs 1,913 billable minutes
  • This week is 26 minutes short, about one short session
Five daily bars from Monday to Friday with productivity between 81.7 and 86.5 percent, combining to 83.9 percent for the week

Planning the rest of the week

On Wednesday night, enter Monday to Wednesday plus your planned Thursday and Friday paid minutes. The calculator tells you how many billable minutes the last two days need, early enough to ask for an extra patient or move an evaluation.

Frequently asked questions

How do I calculate weekly productivity?

Add up all billable minutes and all paid minutes for the week, then divide.

Can a high day make up for a low day?

Yes. Because the week is calculated from total minutes, a strong Thursday offsets a weak Tuesday.

Should I include days off?

Leave them blank. Only days with paid time count.
