How to Calculate Therapy Productivity
Therapy productivity is your billable treatment minutes divided by your paid minutes, times 100. Here’s how to work it out from your own day in five steps, using a real-looking SNF timesheet as the example.

Quick answer: Productivity % = billable minutes ÷ paid minutes × 100. Take unpaid lunch out of paid minutes first.
Step 1: How many minutes were you paid?
Start with your clock-in and clock-out times, then take out any unpaid break.
Example: In at 7:00 AM, out at 3:30 PM, with a 30-minute unpaid lunch.
- Time on site: 8 h 30 min = 510 minutes
- Minus unpaid lunch: 510 − 30 = 480 paid minutes
Short paid breaks (20 minutes or less, under federal Department of Labor rules) stay in paid time.
Step 2: How many minutes were billable?
Add up the minutes your employer counts as productive. For most employers, that’s direct treatment time with the patient.
| Patient | Minutes |
|---|---|
| A | 45 |
| B | 38 |
| C | 53 |
| D | 30 |
| E | 45 |
| F | 52 |
| G | 40 |
| H | 45 |
| I | 38 |
| Total | 386 |
Ask your employer what else counts. ASHA’s 2025 survey found 40% of SLPs said nothing counts toward productivity when the patient isn’t present.
Step 3: Divide and multiply by 100
386 ÷ 480 × 100 = 80.4%
Step 4: Compare with your target
| Target | Billable minutes needed | You had | Result |
|---|---|---|---|
| 80% | 384 | 386 | 2 minutes over |
| 85% | 408 | 386 | 22 minutes short |
Step 5: Plan the gap
If you’re 22 minutes short of 85%:
- One extra 30-minute session closes it
- Or spread it across the week in the weekly productivity calculator
- Or check midday next time with the pace calculator

What are the most common calculation mistakes?
- Leaving unpaid lunch in paid time. That makes your number look lower than it is.
- Averaging daily percentages for a weekly number. Total the minutes instead.
- Counting session time that wasn’t billable, such as waiting for a patient to arrive.
- Mixing hours and minutes. Convert everything to minutes first.
