Time Blocking for Therapists

Time blocking means giving each kind of work its own slot on your calendar: patients, notes, calls, prep. For therapists, the point is simple. If documentation doesn’t have a place in the paid day, it ends up in your evening.

How do you build your own blocks?

  1. Start with your target. Work out billable minutes needed with the therapy productivity calculator.
  2. Size your notes. Minutes per note × patients = documentation minutes.
  3. Place the notes blocks right after clusters of patients, not only at the end.
  4. Protect the blocks. Put them on the shared calendar so they don’t get filled.
  5. Review on Friday what got pushed out and why.

What if my employer schedules every minute?

  • Ask for one protected block a day, even 15 minutes
  • Use transitions for short notes (see the transition routine)
  • Show the math: notes minutes vs non-billable minutes at your target

Frequently asked questions

Doesn’t a notes block lower my productivity?

No. Notes are already non-billable. The block just gives them a time inside your paid day.

How long should a notes block be?

Long enough for the notes you’ll write in it. Measure your real minutes per note first.

Does time blocking work in home health?

Yes, with blocks built around driving. Many home health clinicians chart in the car between visits; only do that when parked and safe.
